Courier Code Access – Mailroom Security

Dear Residents,

We understand that the lack of access to the courier/mailroom code has caused inconvenience for some residents. However, this policy is in place to protect the security and integrity of the mailroom and to prevent unauthorised access or misuse.

In large apartment complexes—particularly those with a mix of owner-occupiers and tenants—it is recommended not to distribute mailroom codes to residents. Many newer buildings manage this by not issuing the code to residents from the outset. Unrestricted access creates vulnerabilities that can compromise building security.

We are aware of instances where the mailroom has been used to avoid being locked out or where fobs have been left in unlocked letterboxes for cleaners or visitors. These practices increase the risk of unauthorised entry. For example, a fob audit at another Perth apartment building revealed a fob that had accessed the pool 28 times but never an apartment. Recently, there was a question about someone using our gym who no longer lives here, although their partner still does.

Unfortunately, there have also been incidents involving unlocked letterboxes linked to broader security breaches. These are not always widely shared within the Vantage community, partly due to the strong reactions such news can provoke.

We acknowledge that some parcels are left outside the mailroom despite courier companies being given the code. This is not due to COO policy, but rather the failure of some drivers to follow delivery instructions. We encourage residents to raise such issues directly with these courier companies. Most offer internal complaint processes, and consistent feedback can lead to improved compliance.

It’s worth noting that many residents are not experiencing these issues, which suggests that driver behaviour, and whether delivery instructions are correctly passed on, varies. If a specific courier requires access, please notify the Building Manager so the appropriate arrangements can be made.

To clarify: residents still have full access to the mailroom via fob. What is restricted is the mailroom code, which is reserved for authorised delivery personnel only. This measure is in place to minimise misuse of fobs and reduce the risk of unauthorised access.

To ensure fairness and transparency, including for residents not on social media, this topic will be added to the agenda for the 2025 AGM for open discussion and a community vote.

In the meantime, the Council of Owners remains committed to prioritising the overall security and safety of the building.
